A customer orders from your Chandler shop and drives over with the confirmation email. Your team has received the order, but nobody has gathered the items yet.
Make the pickup promise clear before checkout, then keep the website, customer messages, and counter team in agreement.
Shopify provides the tools for store pickup. Your business still needs to decide what customers can collect, when it will be ready, and who completes the handoff.
Define the promise your team can keep
Start with a short pickup brief. Name the collection location, the products included, the preparation window, and the person responsible for checking orders.
Imagine a Chandler gift shop accepting online pickup orders while its staff also serve walk-in customers. A preparation promise needs to allow time to find, check, and set aside the purchase. The checkout setting should reflect that work.
Decide what happens with orders placed near closing or outside staffed hours. Avoid wording that leaves customers guessing whether a preparation estimate runs overnight.
- Where
- The named location and actual collection point.
- When
- Preparation time, collection hours, and after-hours handling.
- Who
- The person checking orders and the backup contact.
Give customers a contact route for a delay or a question about collection. Have the owner approve any uncollected-order or cancellation terms before adding them to the site.
If collection hours differ from shopping hours, label both. Our business-hours guide explains how to keep public schedules consistent.
Check the product and location behind availability
Test the exact product option someone can buy. One size or color being on the shelf does not establish that every variant is available.
Shopify's pickup setup lets you choose a processing time and location-specific instructions. Product-page pickup availability depends on theme support. Store transfers can affect the estimated pickup time. Review Shopify's pickup setup guidance.
Ask your developer to show you the active theme's behavior with your own products. Check the selected variant, store location, and message on a phone. Do the same with an unavailable item.
Shopify supports inventory tracking and a setting that permits continued sales when stock runs out. Check how your store is configured rather than assuming an enabled purchase button proves that an item is physically available. See Shopify's inventory-tracking guidance.
Agree on how staff handle damaged, missing, or incorrectly counted stock. The useful outcome is a corrected record and a clear customer update, not a reassuring label that nobody has checked.
Follow the choice through checkout
Start on a product page and place the intended items in the cart. Check whether the collection choice, location, and preparation information stay understandable through checkout.
Use an ordinary basket of products, then try a combination your team expects to cause a different result. For example, an item available at another branch may need a different preparation plan. Document what your actual store does.
Do not advertise one blanket collection promise across every product if some purchases need extra work. Put the relevant detail where the customer makes the decision.
Read the order confirmation as someone who has never visited your shop. Does it distinguish receipt of the order from permission to collect? Does it identify the right location?
Check any extra notices added by your theme, an app, or an old email customization. Conflicting sentences can survive long after the main pickup settings have been corrected.
Make readiness a real staff decision
Give one person responsibility for gathering and checking the order, with a backup when that person is unavailable. Keep the purchase in an agreed collection area with enough identification for staff to find the right order.
In Shopify, marking an order ready for pickup sends the readiness email. After collection, staff can mark it picked up and optionally send a confirmation. Shopify documents the fulfillment steps.
Decide what must be checked before anyone sends the readiness message. That might include the correct variant, item condition, complete contents, and the chosen location.
When a customer arrives, follow your agreed verification process and record the handoff promptly. Avoid relying on someone's memory of a bag leaving the counter.
If an item cannot be supplied as promised, have the responsible person contact the customer with the available options. Do not mark it ready just to clear the order queue.
Write directions for the actual collection point
Give the full address and explain where to go inside the shop. Add a suite number, entrance, or counter description if it prevents confusion.
For curbside collection, explain the process only if your team actually offers it. State how customers should identify their arrival and what response they should expect. A parking-space label alone does not assign anyone to watch for them.
Keep directions focused on facts your team has verified. Link to the correct map destination and test it from a phone. Review temporary entrance or parking changes when they affect collection.
Keep customer details out of public shelf labels or photographs. Staff need a way to find the order without displaying a customer's full information to everyone nearby.

Rehearse the purchase and the handoff
Arrange a test with the people who handle the storefront, website, and orders. Use an agreed test product and customer address so the messages reach the reviewer.
Shopify documents simulated orders through its test gateway or Shopify Payments test mode. Live customers cannot place orders while payment providers are in test mode. Coordinate testing with the store owner and restore normal operation afterward. Read Shopify's test-order guidance.
Walk through the whole route: choose a variant, select collection, read the confirmation, prepare the order, receive the readiness message, and record collection. Confirm the instructions on a phone at the actual collection point.
Write down each mismatch with its page or message, the expected behavior, and who will fix it. Repeat the affected step after the correction.
