A customer orders two gifts from your Tempe shop and leaves a message for one of them. The packing team sees the words but cannot tell which gift should receive the note.
Another shopper uses a quick purchase button and never sees the instruction box at all.
Collecting a request is only useful when it reaches the right person with enough context to act. Before adding another field, decide what the information belongs to and how your team will use it.
Choose what the instruction belongs to
Separate a request about the whole order from a detail about one product. “Please include one gift receipt” and “Print this name on the blue notebook” need different context.
Shopify distinguishes order notes, cart attributes and line item properties. Notes capture general preparation or delivery instructions; line item properties hold customization information for specific products. Read Shopify's order-note guidance (new tab).
Imagine a Tempe stationery shop offering personalized notebooks. A customer buys two copies with different names. One open text box at the end of the cart leaves staff to interpret which name goes where.
Ask your maintainer to show how each name stays attached to its intended item. Shopify documents product-form fields for line item properties, including engraving or monogram text. That is a different setup from a general cart note. Review Shopify's product-field documentation (new tab).
One gift receipt for the purchase.
The name to print on the blue notebook.
Keep ordinary choices such as size or color in the product selection process. Our product-variant guide covers connecting those choices with the exact item ordered.
Ask for information you can use
Name the field for its purpose. “Gift message” tells a customer more than “Additional information.” Put essential limits beside the field, where someone can read them before typing.
For the imagined notebook shop, explain whether customers should enter initials, a full name or a short message. State any limit that the actual production process requires. Do not borrow a character count from another shop.
Shopify lets merchants edit the label for an order-note box. Check the active theme's documentation for its settings and presentation. See Shopify's label instructions (new tab).
Decide whether the request is optional. If your team cannot prepare an item without a particular detail, ask your developer to make that requirement clear and test how missing information is handled.
Avoid inviting requests you cannot honor. A note should not imply that free text can override a product's price, available options or delivery conditions. Explain which requests need confirmation before work begins.
Ask only for details needed to fulfill the purchase. Give customers a separate contact route for questions that require a conversation.
Check routes that skip the cart
Start from a product page and follow each purchase route your store offers. Include the full cart, any cart drawer and the prominent quick purchase button.
Shopify's accelerated checkout documentation explains that an unbranded “Buy it now” button skips the cart and goes to checkout. A field that exists only on the cart page will not be encountered on that route. Read Shopify's accelerated checkout guidance (new tab).
Do not assume that enabling a note setting changes every drawer or purchase button. Ask your maintainer to identify exactly where the field appears and where its value is saved.
- Full cart
- Find the field, enter text and continue.
- Cart drawer
- Check its own controls and saved value.
- Direct purchase
- Confirm essential details cannot be missed.
If an essential instruction can be bypassed, resolve the route before promoting the offer. The right change depends on your theme and customization setup. It might involve moving the collection point or changing which purchase routes are offered for that product.
Test with a keyboard as well as a phone. Check the label, focus, typing area and any error message. Our keyboard contact-form guide explains a simple way to inspect a form without a mouse.
Keep the customer's text through changes
Enter a recognizable test message, then change the cart. Increase quantity, remove another item and return to shopping. Confirm that the instruction still belongs to the intended purchase.
Test two copies of a personalized product with different text. Ask staff to read the resulting order without your explanation. Can they identify what to make and how many of each?

Check punctuation, line breaks and a name with an accented character if those are supported by your offer. The test should reflect what your customers may actually enter.
Do not assume the same text appears in the cart, confirmation, order record and packing document. Inspect each surface your workflow uses. If an instruction is omitted from a staff document, decide where the preparer must read it.
Keep test messages clearly recognizable and out of real customer work. Record the route and exact point where information changes or disappears.
Give requests a staff owner
Choose who reviews instructions before preparation and who handles unclear or unsupported requests. Give that person a backup.
A payment confirmation does not settle every custom request. If the wording requires approval, explain when the customer will receive it and hold the relevant work until the question is resolved.
For the notebook example, staff should not guess whether a misspelled name is intentional. Use the established customer contact process, record the answer and ensure the person producing the item sees the correction.
Define how late changes are handled after an order is placed. Avoid promising that a website note can still be edited after production begins unless your process supports it.
If the request concerns local delivery, use the delivery process to confirm what can be done. Our local-delivery guide covers the difference between a delivery promise and the completed handoff.
Rehearse the complete instruction trail
Arrange a controlled test with the people responsible for the storefront and preparation. Include a blank optional note, a normal request, a long request and two items with different instructions.
Shopify documents simulated orders through its test gateway or Shopify Payments test mode. Live customers cannot purchase while payment providers are in test mode, so coordinate the test and restore normal operation afterward. Read Shopify's test-order guidance (new tab).
Follow the message from entry through the order record to the person doing the work. Confirm the exact item, quantity and text together. Do not stop at seeing a successful checkout screen.
Keep a short record of the expected instruction, observed result and person responsible for a correction. Repeat the affected route after theme, cart, app or packing-document changes.
Our website handover guide can help make this review part of the ongoing maintenance routine.
Your Tempe business website should carry useful customer details into the work behind the sale. Our e-commerce service can help connect the fields, purchase routes and staff handoff. Tell Brandon where order instructions get lost.
